We use Calendly to schedule consultations and presentations. When you book with us, Calendly collects the details you enter — typically your name, email address, telephone number, and any notes you add — and shares them with us so we can prepare for and confirm your appointment. Calendly processes this information under its own privacy policy.

Telephone Communications Through Quo

Our business telephone service is provided through Quo. Calls and text messages to and from (909) 345-9790 are routed, logged, and stored through that service, which may include caller ID information, call times, call duration, voicemail, and message content.

Google Meet Presentations

Website preview presentations and consultations may be held over Google Meet. Google processes meeting connection data under its own privacy terms. We collect only the meeting content and notes needed to serve you.

Call and Meeting Recordings

Incoming and scheduled calls may be handled by an AI receptionist that answers questions, takes messages, and books appointments on our behalf. Calls and online meetings may be recorded when proper notice and consent are provided. You will be told before a recording begins, and you may ask us to continue without recording.

AI-Generated Transcripts, Summaries, and Action Items

With notice and consent, recorded calls and meetings may be transcribed and summarized using automated tools that generate written transcripts, summaries, and action items. We use these records to keep accurate notes, confirm what was agreed, and follow up on your project. You may request a copy of a transcript or summary about you, or ask us to delete it.

CRM Data Stored Through HubSpot

We store contact records, appointment history, notes, and communication history in HubSpot, our customer relationship management platform. HubSpot processes this information on our behalf so we can manage inquiries and ongoing projects.

Automated Workflows Processed Through Make

We use Make to move information between the tools listed in this policy — for example, sending a website-form submission into our CRM or triggering an appointment confirmation. Make processes this data on our behalf and only for these operational purposes.

SMS Appointment Confirmations and Reminders

True Power Media sends appointment confirmations, reminders, rescheduling notices, and conversational follow-ups only after the recipient has provided permission.

How SMS consent is collected. You give consent by checking the SMS opt-in box on our website or booking form, by entering your mobile number where SMS messaging is clearly described, or by telling us verbally during a call or meeting that you agree to receive text messages. Consent to receive text messages is never a condition of purchasing any product or service.

How to opt out. Recipients may reply STOP to any message to opt out at any time. You may also reply HELP for assistance or call us at (909) 345-9790.

Rates. Message and data rates may apply. Message frequency varies based on your appointments and active projects.

We do not send appointment texts when the person declines SMS consent. In that case we confirm appointments by phone or email instead.

SMS consent and mobile information are not sold or shared with third parties for their independent marketing purposes.

Service Providers

These currently include Calendly (scheduling), Quo (telephone and SMS), Google Meet (online meetings), HubSpot (CRM), Make (automated workflows), our website hosting and email delivery providers, and the transcription and AI tools used to produce meeting notes. We may also disclose information when required by law or to protect our legal rights.

We use reasonable administrative, technical, and physical safeguards to protect your information, including access controls on our systems and reputable vendors that maintain their own security programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data Retention

We keep information for as long as needed to provide our services, maintain business and financial records, and comply with legal obligations. Inquiry and appointment records, recordings, transcripts, and summaries are deleted or anonymized when they are no longer needed for these purposes, or sooner at your request where we are not required to keep them.

Cookies and Analytics

Our website may use cookies and similar technologies to keep the site working correctly and to understand how visitors use it. Analytics tools help us see which pages are viewed and how people arrive at the site.
